Overview

Why portfolios end up with four cleaning contractors

Nobody sets out to run four cleaning contracts. It happens one building at a time: the CBD tenancy inherits the base building's preferred supplier, the warehouse at Eastern Creek is arranged locally by the site manager, and the two North Shore offices come across with an acquisition. Two years later there is no single specification, no comparable pricing and four different people to ring when something is missed.

We take portfolios in whichever state they arrive. Each address is surveyed on its own terms, because a distribution centre and a medical suite have nothing in common operationally, but they are priced together on one rate card and run under one agreement. Adding or closing a site later is an amendment, not a renegotiation.

The part that matters most to the people who actually manage this is the reporting. One monthly report lists every building, the periodic work completed against the calendar, escalations with the dates they were raised and closed, and consumable usage per site. It is designed to be forwarded to finance without being rewritten first.

What We Cover

What the portfolio agreement covers.

Scheduled Site Rounds

Nightly or set-day rounds at each address, rostered to that building's access hours rather than a single portfolio-wide timetable.

Portfolio Periodic Calendar

Carpet extraction, floor sealing and high dusting mapped across all sites for the year, so two buildings are never quoted for the same work twice.

Consistent Touchpoint Standard

The same touchpoint and washroom standard applies at every address, so an audit at the smallest site returns the same result as head office.

Equipment Placed Per Site

Scrubbers, extractors and HEPA vacuums are allocated to the buildings that need them rather than shared around and hired in when they are not available.

Central Compliance Register

One register of insurances, SWMS, safety data sheets and police checks, issued to any base building manager who asks without a site-by-site chase.

Site Additions By Amendment

New tenancies join the agreement at the existing rate card. Closing a site is a notice, not a renegotiation of the whole contract.

Why Choose Us

What changes for the person managing it.

One Number to Call

Escalations go to your account manager regardless of which building they concern, and are logged with the date raised and the date closed.

Comparable Pricing Across Sites

Because every building is priced from the same rate card, you can finally see which site is expensive and why, instead of comparing four contractors' formats.

Less Administration Per Month

One invoice and one report replace the reconciliation work that comes with several contractors on different billing cycles and formats.

No Weak Site in the Portfolio

Regional and satellite offices run the specification agreed for your primary building, so standards do not quietly drift at the addresses nobody visits.

Portfolio Questions

Commercial Cleaning across multiple sites.

How many sites do you need on a portfolio before it makes sense to consolidate?

There's no fixed threshold — we've consolidated portfolios as small as three sites and as large as several dozen. The trigger is usually the admin cost of managing separate contracts outweighing the effort of a single agreement.

Can each site keep a different cleaning specification if they genuinely need one?

Yes, a distribution centre and a medical suite are surveyed and specified separately since they have nothing in common operationally, but both sit under the same agreement, rate card and invoice.

What happens when we add or close a site mid-contract?

It's treated as an amendment to the existing agreement rather than a renegotiation. A new site is surveyed, specified and onboarded, typically within a fortnight of confirming the address.

What does the monthly report actually include?

Every building in the portfolio, periodic work completed against the calendar, escalations with the dates raised and closed, and consumable usage per site — built to be forwarded to finance without being rewritten.

Do we get one account manager or a different contact per site?

One account manager holds the whole portfolio, including access arrangements and base building inductions for every address, so an issue is raised once rather than routed through multiple contacts.

How is a Sydney-wide portfolio priced?

Each address is surveyed and priced on its own terms, then combined into one rate card and one agreement. Send through your site list and we'll quote the whole portfolio. Call 02 9139 8401.
